The role:

Responsible for providing secretarial, clerical and administrative support to ensure the Operations services are provided in a safe, effective and efficient manner

The duties will include but are not limited to:

Provides quality output in relation to administrative related processes and queries
Review and coordinate distribution of communications from the operations teams
Ensures that clerical duties are executed correctly and timeously
Maintain an efficient and effective document management and control system
Responsible for the coordination of office services such as personnel, housekeeping and budget preparation
Manages and oversees the plant Laundry and office cleaning services
Coordinate team functions, events and site visits including bookings and catering
Ensure queries are correctly referred, followed up and resolved to avoid further escalation
Generate accurate reports and ensure timeous distribution of correspondence
Purchasing, collecting and maintaining office inventory, including Safety gifts and initiatives
Ensure that purchase requisitions are created, and invoices correctly and timeously processed
Manage travel arrangements
Participate and support community projects
Coordinates and arrange high level visits
Manage the Calendar of the GM
Confidentiality regarding all aspects of documentations, invitations and discussions
Managing staionery, iT and general office stock levels
Takes and distributes effective minutes of meetings
Keeps record of spend and consumption
Takes responsibility for office safety and appointment as covid officer for the area of responsibility
Compiles and manages leave rosters
Assists in maintaining office asset registers and co-ordinating repairs to the office area
Co-ordinate and administrate key whatapp groups as sanctioned by the GM
Ensures an efficient and hustle free diary management system
Schedules and manages internal (i.e. boardrooms) and external (i.e. client) meetings and takes account of venue, travel as well as meeting intervals
Coordinates accurate arrangement of local and overseas travel
Setup accommodation and entertainment arrangements for company visitors
Continuously interacts with clients, customers and vendors
Demonstrates good relations with all internal and external stakeholders

You will need:

Grade 12/Equivalent
Certificate/Diploma in Office Administration or related field
2 Years general working relevant experience in an office administration environment
Computer literacy (MS Office)
Demonstrated written and oral English language proficiency
Administration ’ data capturing skills
Business writing skills
Be able to cope with pressure, be innovative ’ a self-starter
In possession of or able to obtain a Certificate of Fitness
Must have a valid K53 driver’s license

Advantageous:

Understanding of SAGE, SAP, and X-Time
Basic knowledge of payroll rules and conditions of employment for various employee categories
