Description

Responsible for understanding the full procurement process. From order placed, through procurement, to building a load and finally delivering the combined load to the park.

Assist in the administrative procurement processes such as:

requesting quotations,
raising delivery notes and
Prioritise urgent order requests
Preparation of Commercial Invoices
Liaise with suppliers in respect of commercial and/or technical clarifications and queries
Handling incoming and outgoing courier parcels (for parks)

Receipting goods

Binning goods into storeroom
Issuing goods out of storeroom
Stock take + managing old items in storeroom
Assist the Procurement Specialist to plan and calculate all activities related to the Procurement Department
Phone daily to follow up if orders placed will be delivered timeously
Assist with completion of credit applications and supplier administration duties
Streamline documentation, record-keeping, and filing processes to enhance efficiency
Maintain an updated and accurate preferred Supplier database
All duties need to be completed in line with the procurement SOP
Drives continuous improvement in all aspects of the procurement process
Perform additional outputs related to the role or assigned by the management
Parks work 7 days a week and the procurement phone (separate to your personal phone) does receive requests 7 days a week. Some of these might be emergency/crucial and require an after-hour intervention. This is however not the norm.
Keep current in changes in procurement field and contractual regulations

Requirements
Qualities and Skills:

Minimum 2 – 3 years work experience in administration
Experience in procurement
Strong attention to detail and accuracy in data management.
Proficient in using accounting software (e.g., Serenic) and other procurement-related tools.
Excellent organizational and time management skills.
Ability to collaborate effectively with internal teams, creditors, and stakeholders.
Problem-solving mindset with the ability to resolve issues efficiently.
Strong written and verbal communication skills.
Knowledge of procurement processes, payables management, and record-keeping.
Ability to work independently and handle multiple tasks simultaneously.
Adaptability and flexibility to work in a fast-paced environment.
Knowledge of French or Portuguese is a benefit
