Project Administrator (6 months contract) – Durban

PURPOSE OF THE POSITION

The purpose of this role is to oversee the administration needs of projects to support overall governance and effective performance management. They are responsible for financial administration of invoices and orders, contract administration and travel bookings related to projects.

Responsibilities

Day to day administration and support of multiple projects.
Taking and preparing Program and Project minutes and distribute timeously.
Prepare and distribute presentations.
Manage and arrange project correspondence.
Effective management and coordinating of travel bookings and meetings. Several travel bookings will be required at once which require interaction with several role-players. Travel bookings are time sensitive.
Tracking RAID items in the SPAR tool and preparing reports.
Assist with the monitoring and implementation of project methodologies.
Collate information required for invoicing. Liaise with service providers on receiving invoicing and attending to queries.
Check costings and ensure that costs are kept within the budget allocation.
Setup of purchase orders and assist in maintenance of such throughout the project.
Ensure all contractors have up to date contracts of employment and are signed and kept for record keeping.
Responsible for timely submission of weekly timesheets and ensure project allocation and/or cost centre allocations are correct.
Update and track information of project activities
Update and maintain all documents required for project and maintain the document repository.
Other ad hoc general administrative functions as required of role or by management

Qualifications

Matric
Relevant tertiary qualification, preferably in Finance
At least 3 years’ experience Project or Financial Administration experience
Understanding of projects is essential.
Proficient in MS Office with strong Excel skills
